Panorama Club Terms and Conditions
Panorama Club Program (hereinafter "Panorama Club") is a frequent flyer loyalty program of Ukraine International Airlines (hereinafter "UIA") for UIA loyal customers that are Panorama Club members (hereinafter "Member") and use UIA and Panorama Club Partners’ services. Membership in Panorama Club is a subject to Panorama Club Terms and Conditions, which are set out below.
1. GENERAL
1.1. UIA reserves the right to modify Panorama Club Terms and Conditions, suspend or terminate Panorama Club at any time without prior individual notice.
1.2. Information about changes in Panorama Club Terms and Conditions are published on UIA website www.flyUIA.com (Panorama Club section). Changes and/or amendments to Panorama Club Terms and Conditions are considered as accepted by the Member if no written refusal to accept them or Panorama Club membership termination notification from Member was received within 2 months period since the information was published on UIA website www.flyUIA.com. If a Member objects the changes or amendments to Panorama Club Terms and Conditions, his/her participation in Panorama Club is terminated due to p.2.10, 2.11 of the Panorama Club Terms and Conditions.
1.3. During certain periods, special conditions may apply for miles accrual, miles redemption or obtaining certain Panorama Club membership level. UIA passengers and Members can find this information on UIA website www.flyUIA.com (Panorama Club section).
2. PROGRAM MEMBERSHIP
2.1. Membership in Panorama Club is open to individuals aged 2 (two) and older who are residents of the country legislation of which does not prohibit participation in airlines’ frequent flyer programs. If an applicant is a person under maturity age (according to legislation the age from which full civil capacity comes), one of his/her parents or a legal guardian (a person acting under the law in the interests of the child) acts as his/her representative.
2.2. Organizations, corporations and other legal entities cannot participate in Panorama Club but can apply for Panorama Club CORPORATE membership.
2.3. Panorama Club registration and membership are free of charge.
2.4. Membership in Panorama Club can be obtained by completing an Application form (all mandatory fields) in on-line version that placed on www.flyuia.com.
2.5. Panorama Club membership is open to individuals who have read and accepted Panorama Club Terms and Conditions and UIA’s Privacy Policy that placed on www.flyuia.com, when completing an Application form, as well as confirmed the validity of all personal data herein and gave consent to the processing of the personal data for Panorama Club Program membership purposes and receiving the information (marketing materials) from UIA with current special offers and other services, including e-News, UIA and its partners joint promotions, quality of services surveys due to UIA Privacy Policy. Subscription to the newsletter can be cancelled at any time.
2.6. When completing Panorama Club Application form it is necessary to specify a unique email address and mobile phone that were not used during the registration of Panorama Club and Panorama Club CORPORATE members.
2.7. Membership in Panorama Club is individual. Only one membership account is allowed per person. If more than one registration of the same Member in the Program is detected, the UIA reserves the right to cancel all duplicate registrations by merging the accounts into one, without Member prior notice.
2.8. UIA reserves the right not to accept unsigned and unfilled (mandatory fields) Members application forms. UIA reserves the right to refuse membership in Panorama Club anyone who does not comply with Panorama Club Terms and Conditions, wherein personal data specified in application forms are not subject to further processing, storage and usage on UIA side.
2.9. UIA reserves the right to suspend / terminate membership in Panorama Club of any person who fails to comply with the Panorama Club Terms and Conditions, in case of detecting the illegal / fraudulent actions of the Member, as well as in case of termination of Panorama Club program. In case the UIA system or UIA employees detect suspicious transactions with the Member account or operations potentially containing signs of illegal / fraudulent actions, in order to reactivate the Panorama Club membership on UIA request Member should provide appropriate supporting documentation (for example, scan-copy of the pages of the foreign passport with the remarks of crossing the state borders, connected with the trip, ID photo, on which it would be possible to confirm the trip). The deadline for providing such documentation will be indicated in UIA's request. In case the supporting documentation is not provided or the period exceeds above stated, the UIA reserves the right to terminate membership of such Member in Panorama Club.
2.10. Membership in Panorama Club can be terminated upon the wish of a Member and / or in case the Member does not accept changes or amendments to the Panorama Club Terms and Conditions by a written notice or by e-mail to panorama@flyuia.com from the e-mail address indicated in Member’s profile.
2.11. In case of Panorama Club membership termination regardless of the reasons all accumulated miles will be cancelled without any possibility of their renewal and usage in the future.
2.12. A Member should timely inform Panorama Club about any changes in personal data that were mentioned while filling Application form.
2.13. UIA reserves the right to inform Members about Panorama Club Terms and Conditions changes; opportunities to earn and use miles; opportunities of using Panorama Club digital card; about the status of requests sent by Members to Panorama Club, and also send congratulations to Members on holidays to the email and / or telephone specified in Member's profile.
3. MEMBERSHIP NUMBER. PASSWORD. MEMBERSHIP LEVELS
3.1. While registering in Panorama Club, each Member is assigned a membership number (card number). A Member should use the membership number when purchasing tickets on UIA flights, using UIA additional services and Panorama Club non-airlines partners’ services, as well as using a card number during the requests for issuing Panorama Club rewards. Members may use membership number, which is sent in confirming email after the registration in Panorama Club was made, paper or digital membership card, which is available in Member Web Account on UIA website www.flyUIA.com (Panorama Club section).
3.2. While registering in Panorama Club each Member gets a password that is used to identify membership, to access the Member Web Account on UIA website www.flyUIA.com (Panorama Club section), as well as during issuing Panorama Club rewards.
3.3. A Member is fully responsible for the safety, confidentiality, non-disclosure of a membership number and password, and the impossibility of unauthorized access to this data by third parties. In case of a breach of confidentiality, Member is solely responsible for any actions with personal account, including, without limitation, any transactions on the account and violation of Panorama Club Terms and Conditions. In case of violation of confidentiality of the membership number and/or password, the Member should immediately change the password and notify Panorama Club in order to prevent unauthorized access to the personal account by third parties.
3.4. Panorama Club membership card and membership number are personal and non-transferable and can be used only by the person whose name is indicated on the card and who owns the membership number.
3.5. Panorama Club Classic card is provided to the Member just after the registration in the Panorama Club, and can be downloaded and/or printed from the Member Web Account on UIA website www.flyUIA.com (Panorama Club section). Validity of Panorama Club Classic card - is unlimited.
3.6. Panorama Club Premium card is provided to the Member after he/she has meets one of the following requirements:
3.6.1. Accumulation of 20,000 status miles on the Member’s account during one calendar year (from 1 January till 31 December), or
3.6.2. Fulfillment of 25 (twenty five) status flight segments during one calendar year (from 1 January till 31 December).
Validity of Panorama Club Premium card - is 1 (one) calendar year.
3.7. Panorama Club Elite card is provided to the Member after he/she has meets one of the following requirements:
3.7.1. Accumulation of 40,000 status miles on the Member’s account during one calendar year (from 1 January till 31 December), or
3.7.2. Fulfillment of 50 (fifty) status flight segments during one calendar year (from 1 January till 31 December).
Validity of Panorama Club Elite card - is 1 (one) calendar year.
3.8. Holders of a valid Panorama Club Premium and Panorama Club Elite cards are eligible for additional benefits that are provided to the Members on UIA own regular scheduled flights. Benefits and privileges at the airport and in the business lounge are provided only upon presenting a valid digital membership card. The actual list of benefits and privileges are placed on UIA website www.flyUIA.com (Panorama Club section).
3.9. Member should inform Panorama Club about any changes in the postal address or other data change that was made after the registration in Panorama Club. To change the data, Member should make the appropriate changes in the Member Web Account on UIA website www.flyUIA.com (Panorama Club section) or inform Panorama Club about changes by sending a request from the Member’s email address indicated in the profile, or in case if the e-mail is not valid Member should provide a scanned copy of the Member’s official identity document. UIA is not responsible for the consequences resulting from Member’s failure to comply with this provision.
3.10. Panorama Club plastic membership cards remain the property of UIA and should be returned on first UIA request or after membership termination.
3.11. Membership cards cannot be used after the expiry date and/or after termination of membership in Panorama Club.
4. MILLEAGE ACCRUAL
4.1. Miles categories. The mile is the basic unit of Panorama Club rewards measurement. All miles credited to Members’ accounts are divided into two categories:
4.1.1. Status Miles are credited to a Member’s account for UIA own regular scheduled flights and for UIA code-share flights (jointly-operated by two and more companies) on condition that the flight is booked under the PS code. Status Miles qualify for membership level upgrade to Panorama Club Premium and Panorama Club Elite and can be used for Panorama Club rewards.
4.1.2. Bonus Miles are credited for UIA additional services, services provided by Panorama Club non-aviation partners, during special offers on UIA flights, promotions, etc. Bonus Miles can be used for Panorama Club rewards but they do not qualify for membership level upgrade to Panorama Club Premium and Panorama Club Elite.
4.2. Status Flight Segment - is one direct Members’ flight between two airports by the UIA own regular scheduled flight or code-share flight on condition that the flight is booked under the PS code and the fare used is eligible for status miles accrual. Status Flight Segments qualify for membership level upgrade to Panorama Club Premium and Panorama Club Elite.
4.3. Miles accrual opportunities.
4.3.1. Members have an opportunity to earn miles for:
- UIA own regular scheduled flights and UIA code-share flights, on condition that the flight is booked under the PS code;
- personally paid and used UIA and non-aviation Panorama Club Partners services.
4.3.2. The actual list of accrual opportunities and conditions is available on UIA website www.flyUIA.com (Panorama Club section).
4.3.3. Miles are not credited for:
- UIA charter flights and on charter seat quota on UIA regular flights;
- UIA own regular scheduled flights and UIA code-share flights in case ticket is fully or partially paid by miles;
- unused on the initiative of the Member or refunded tickets;
- partner services that are provided at a discount or special fare.
4.3.4. Amount of miles credited to the Member’s account for the flight is calculated based on the cost of the fare part of the flight segments (airport and other charges are not included) purchased and actually used by the Member and is as follows:
- 5 miles for each 1 USD or its equivalent in another currency for Panorama Club Classic members;
- 7 miles for each 1 USD or its equivalent in another currency for Panorama Club Premium members;
- 10 miles for each 1 USD or its equivalent in another currency for Panorama Club Elite members.
4.3.5. Miles are credited according to the information indicated in the ticket. In case of involuntary flight/date or route change by UIA initiative due to the unforeseen circumstances miles are credited in accordance with the information indicated in the initially purchased ticket. In case of ticket reissue by Member’s initiative, miles are credited according to the information indicated in the reissued ticket, taking into account the difference between the commercial exchange rate of the issued ticked and NBU exchange rate of the reissued ticket, in accordance with the accounting rules.
4.3.6. Amount of miles credited to the Member’s account for certain UIA additional services is calculated based on the service cost purchased and actually used by the Member and is 7 miles for each 1 USD or its equivalent in another currency of the service cost.
4.3.7. Amount of miles credited to the Member’s account for Panorama Club non-aviation partner companies’ services depends on the terms of cooperation with the Panorama Club partner company. Miles are credited only for the goods and services purchased directly from Panorama Club partner company, without using the services of any intermediary company. The actual list of Panorama Club non-aviation partner companies and terms of cooperation is published on UIA website www.flyUIA.com (Panorama Club section).
4.3.8. UIA reserves the right to determine the amount of miles accrued for flights, UIA and Panorama Club non-aviation partner services, fully or partially exclude certain services, fares, flights or categories of flights from accrual rules without Members individual prior notice.
4.3.9. In case of any mistakes in milege accrual Panorama Club reserves the right to correct Member’s account without Member prior notice.
4.3.10. Information about the account balance is available in Member Web Account on UIA website www.flyUIA.com (Panorama Club section), through direct contact to Panorama Club, UIA Customer Support Center, UIA ticket offices, UIA representative offices abroad, and also provided by UIA in the periodic e-mailing.
4.3.11. Information about temporary or permanent ways and conditions of earning miles is published on UIA website www.flyUIA.com (Panorama Club section).
4.4. Automatic miles accrual.
4.4.1. Miles for flights are credited to Member’s account automatically within 3 (three) days from the date of UIA flight in case First and Last name spelling in the ticket corresponds the same spelling in the Member’s profile and at least one of the next conditions was performed:
4.4.1.1. membership card (or membership number) is presented to an agent / indicated when booking a ticket or indicated in the special field while booking on-line on UIA website;
4.4.1.2. membership number is indicated in the special field during web check-in;
4.4.1.3. membership card (or membership number) is presented at the check-in desk at the airport of departure.
4.4.2. Miles for certain UIA additional services are credited to Member’s account automatically till 15 (fifteen) calendar day of the month following the month using the service in case membership card or membership number was presented / indicated during the service was purchased. First and Last name of the person to whom the service is booked must match First and Last name of Panorama Club Member, the number of which is specified when purchasing service. Miles are not credited for additional services purchased on UIA charter flights, including charter quota on regular flights.
4.4.3. Miles for Panorama Club non-aviation partners’ services are credited to Member’s account automatically on the basis of the partners report after 15 (fifteen) calendar day of the month following the month using the service in case membership card or membership number was presented / indicated during the service was purchased and the report was provided by the partner in time. First and Last name of the person to whom the service is booked must match First and Last name of Panorama Club Member, the number of which is specified when purchasing service. UIA is not responsible for the quality of goods and services provided by Panorama Club partners.
4.4.4. Miles for the purchase of goods and services of Panorama Club non-aviation partners are credited to Member’s account based on the “Online stores” offer Terms and Conditions.
4.4.5. Miles for the purchase of services of Panorama Club non-aviation partner Booking.com are credited to Member’s account based on Terms and Conditions, published in the corresponding section of the UIA website.
4.5. Retroactive miles accrual. In case miles are not credited to Member’s account automatically, miles can be credited retroactively within 6 (six) months from the date of the UIA flight or UIA service using. Retroactive miles accrual is only available for flights / service using performed from the actual date of Member’s registration in Panorama Club.
4.5.1. Miles for UIA flights can be credited to the Member’s account retroactively in case Member has done one of the following actions:
4.5.1.1. Completed “Missing Miles request” form in the Member Web Account on UIA website www.flyUIA.com (Panorama Club section). If the form is completed correctly miles for the flight will be credited automatically.
4.5.1.2. Presented to Panorama Club office flight documents confirming the flight. Miles are credited within 3 (three) days after flight documents were received. Originals of flight documents provided to Panorama Club can not be returned on Members request.
4.5.2. Miles for certain UIA additional services can be credited retroactively in case the document confirming the service purchase is provided.
4.5.3. Miles for Panorama Club non–aviation partner’s services are not credited retroactively.
4.6. Miles validity.
4.6.1. Validity of below listed miles categories accrued on Member’s account, unless otherwise specified, is 36 (thirty six) months from the actual date of:
4.6.1.1. UIA flight performed and service used;
4.6.1.2. purchase of goods and use of services of Panorama Club non-aviation partner company;
4.6.2. Validity of certain categories of bonus miles (welcome miles for registration, miles for the first flight, miles for birthday, miles for certain special offers) accrued on Member’s account, unless otherwise specified, is 180 (one hundred and eighty) days from the date of their actual accrual.
4.6.3. Miles that were not redeemed during their validity period, automatically expire on the last calendar day of the current quarter.
4.6.4. The amount of miles that will expire over the next 5 (five) quarters is indicated in the Member Web Account on UIA website www.flyUIA.com (Panorama Club section).
4.6.5. Member must use miles that will expire before the date of automatic expiration. Miles that were expired from Members’ accounts are non-refundable.
4.7. Miles transfer, miles exchange.
4.7.1. Each Member has a personal account / profile to register the accrued miles. Miles from the personal account of one Member cannot be transferred or combined with another Members’ account, or transformed into miles of another loyalty program.
4.7.2. Miles cannot be converted into money equivalent.
4.7.3. Sale, exchange, auction or any other way of transferring miles to the third parties are prohibited. Negotiations about miles purchase or sale, miles purchase from Members or the third parties, as well as illegitimate usage of miles are prohibited.
5. MILLEAGE REDEMPTION
5.1. Air ticket payment by miles.
5.1.1. Members have an opportunity to use miles for full or partial payment by miles of the fare part of the ticket (from 0% to 100%) on UIA own regular scheduled flights and on UIA code-share flights (jointly-operated by two and more companies) on condition that the flight is booked under the PS code. Airport and other fees can not be paid by miles.
5.1.2. The use of miles is performed at a ratio of 100 miles to pay for each 1 USD or its equivalent in another currency of the fare part of the ticket. The minimum number of miles to use is 100 miles, the multiplicity is 100.
5.1.3. To book and pay for the air ticket by miles, Member should fill out a Request form in the Member Web Account on the UIA website www.flyUIA.com (Panorama Club section) or contact Panorama Club or UIA Customer Support Center and provide full information about the planned flight: passenger name and surname, card number and Member’s name and surname from whose account the reward will be issued, the route and dates of the flight, the class of service, contact phone number, email, etc.
5.1.4. Payment by miles applies to the fare available in the system at the time of booking. Payment by miles does not apply to the state, airport and other taxes, which are fully paid by the Member. Payment by miles does not apply to some Promo fares, available on the website. Airport and other taxes level corresponds to the level applied via UIA Customer Support Center and UIA cash desks. The amount of service charge for issuing an air ticket with partial or full payment by miles on international destinations is 5 USD per air ticket, on domestic destinations – not applied.
5.1.5. Issuing of one air ticket with payment by miles is available only from one Member’s account.
5.1.6. Discounts for special categories of passengers (infants, children up to 12 years old, etc.) are applied for air tickets with payment by miles, in accordance with air ticket fare rules applied.
5.1.7. Changes of the air ticket with payment by miles are processed in accordance with the air ticket fare rules applied.
5.1.8. Issuance of the air ticket with payment by miles for an infant and the associated adult in booking is processed from the same Member’s account only.
5.1.9. The actual information about the opportunities and conditions of Panorama Club miles using is available on the UIA website www.flyUIA.com (Panorama Club section).
5.1.10. UIA reserves the right to define the ratio of the miles usage, the conditions of issuance, as well as to make any changes, including changing the list of miles usage options without individual prior notice.
5.1.11. Each Panorama Club Member has a personal account / profile to collect and use miles. Panorama Club reward can be issued from the Member’s account for the Member personally or for any other third person as an reward transfer. Reward issuing from a personal account to a third person is made out personally by Panorama Club Member who owns the personal account. Miles from the Member’s personal account cannot be transferred to the account of another Member or combined with the miles on another Members’ accounts.
5.1.12. In case of incorrect miles redemption UIA reserves the right to proceed with corresponding changes to the Member’s account balance without Member prior notice.
5.1.13. Reward booking and issuing are processed via Panorama Club, UIA ticket offices, through UIA Customer Support Center, or in UIA representative offices abroad. Payment by miles does not apply to previously booked or issued tickets on the UIA website, at the agency or at the other place to purchase tickets.
5.1.14. Sale, exchange, auction or any other way of transferring Panorama Club rewards to the third parties are prohibited. Negotiations about Panorama Club rewards purchase or sale, Panorama Club rewards purchase from Members or the third parties, as well as illegitimate usage of Panorama Club rewards are prohibited.
5.1.15. Actual information about another temporary or permanent ways of miles usage are placed on UIA website www.flyUIA.com (Panorama Club section).
5.2. Additional services payment by miles
5.2.1. Members have an opportunity to use miles for full payment by miles of additional services on UIA own regular scheduled flights. The use of miles is performed at a ratio of 100 miles to pay for each 1 USD of the additional service cost.
5.2.2. To pay for the additional service by miles, Member should fill out a Request form in the Member Web Account on the UIA website www.flyUIA.com (Panorama Club section) or contact Panorama Club or UIA Customer Support Center and provide full information about the flight: passenger name and surname, card number and Member’s name and surname from whose account the reward will be issued, the route and dates of the flight, the class of service, contact phone number, email, etc.
5.2.3. The actual information about the opportunities and conditions of Panorama Club miles using is available on the UIA website www.flyUIA.com (Panorama Club section).
5.3. Miles Refund
5.3.1. Miles refund for an unused / partly used on Members initiative air ticket that was issued with a full or partial payment by miles is processed in accordance with the air ticket fare rules applied.
5.3.2. In case of flight delay or cancellation by the UIA initiative due to commercial or unforeseen circumstances, miles for the air ticket issued with payment by miles are refunded without any penalty. Full / partial miles refund is processed if a Member refused from alternative routes of transportation offered by UIA.
5.3.3. While booking UIA additional services for miles, miles can only be refunded in accordance with appropriate additional services refund terms and conditions.
5.3.4.In case of miles refund to Member’s account, miles, which were eligible for expiration in the previous quarterly periods, are automatically redeemed at the time of miles refund transaction.
6. REWARD TRANSFER
6.1. A Member may issue any Panorama Club reward for miles accumulated on his / her account to any person of his / her choice by making a reward transfer.
6.2. Miles and already issued Panorama Club rewards cannot be transferred to another person.
6.3. In order to transfer a reward, Member should do one of the following actions:
6.3.1. To indicate persons to whom Panorama Club rewards are planned to be transferred in “Nominee list for reward transfer" section and to complete an Application for reward issuance in Member Web Account on UIA website www.flyUIA.com (Panorama Club section). Adding by the Member these data to the “Nominee list for reward transfer" confirms Member’s consent of the reward transfer from his / her account to such persons. Entities cannot be indicated as a part of "Nominee list for reward transfer". Nominee list can include up to 5 (five) persons, with the possibility of adding and removing a person from the list.
6.3.2. To send a reward transfer authorizing letter from the e-mail address indicated in the Member’s profile with the next information: Member’s First name and last name, Panorama Club membership number, First name and last name of the passenger (in English, as specified in the document, which will be used by the passenger to pass customs procedures), to which reward is transferred, route and dates of flights, class of service, contact phone numbers and email address and confirmation of the consent for the indicated Panorama Club reward issuance (with an indication of reward mileage cost).
6.4. Panorama Club Terms and Conditions apply also to the person to whom the reward is transferred to; it is the Members responsibility to ensure that the person receiving the transferred reward is aware of Panorama Club Terms and Conditions.
6.5. UIA is not responsible for fraud or for any other illegitimate usage of Panorama Club rewards.
7. OTHER CONDITIONS
7.1. Members are responsible for violation of Panorama Club Terms and Conditions, if their actions fall under the restrictions mentioned in p.4.7.3. (miles sale / transfer) or p.5.1.14. (Panorama Club reward sale / transfer).
7.2. UIA or an authorized third party has the right to suspend rewards issuance from the Member’s account, to cancel already issued rewards and to refuse issuing rewards in the future:
7.2.1. In case of improper use of Panorama Club rewards, which took place through Member’s fault.
7.2.2. In case the rewards were not issued personally by Panorama Club Member who is the owner of the personal account and if a Member did not provide within the specified terms the confirmation of personal reward issuing (including a personal visit to the UIA office).
7.3. In case of improper use of Panorama Club rewards, which took place through Member’s fault, UIA reserves the right to calculate the cost of the reward and to require the Member who violates p. 4.7.3, 5.1.14 its payment.
7.4. In case of suspension or termination of the membership in Panorama Club, all previously issued awards can not be changed.
7.5. In any cases, a Member has the right to present evidence that there is no damage caused by his / her actions or there is lack of evidence of his / her guilt.
7.6. UIA reserves the right to block Members account in Panorama Club, without the right to use accumulated miles or privileges for a period which is necessary for the proper investigation of the facts of possible violation of Panorama Club Terms and Conditions and Panorama Club rewards misuse.
7.7. In case of the Member's death, participation in the Panorama Club and accumulated miles on the account shall be canceled and not inherited.
7.8. Panorama Club activity is governed exclusively by the laws of Ukraine. All disputes relating to Panorama Club activities should be considered through bilateral negotiations or in the court at the place of UIA registration.
